What is a Functional Capacity Assessment?

A Functional Capacity Assessment (FCA) is a detailed evaluation, usually completed by an occupational therapist, of how a person manages everyday life. It looks at areas such as self-care, mobility, communication, social participation, learning and work, and identifies where support is needed and why. The result is a comprehensive report with clear recommendations, often used as evidence for an NDIS Access Request or plan review, or to guide therapy, equipment and support decisions. Karista is a free, independent service that connects you with FCA providers who have availability in your area.

Frequently Asked Questions

What is a Functional Capacity Assessment?

A Functional Capacity Assessment (FCA) is a comprehensive evaluation of how a person manages daily life. It looks at self-care, mobility, communication, social participation, learning and work, and how disability affects each area. The assessor then recommends the type and level of support needed to help the person achieve their goals.

Who completes a Functional Capacity Assessment?

FCAs are usually completed by an occupational therapist. Depending on the person's needs, other allied health professionals such as physiotherapists may also contribute.

What happens during an FCA?

An FCA usually includes:

  • An interview about health, history, daily routines and goals
  • Standardised assessment tools and questionnaires
  • Observation of everyday tasks, at home or via video
  • Input from family, carers or other professionals, where relevant

The therapist then writes a detailed report with findings and recommendations

Why would I need an FCA for the NDIS?

An FCA provides professional evidence of how disability affects daily life. This can support an NDIS Access Request or a plan review. A report doesn't guarantee NDIS access or a particular level of funding – eligibility and funding decisions are made by the NDIA.

How much does a self-funded FCA cost?

Fees vary between providers depending on the complexity of the assessment, the time involved and the length of the report. Ask the provider for a full quote before booking.

Can an FCA be done via telehealth?

Yes. Many providers complete FCAs via telehealth, which can mean shorter wait times and no travel. Some assessments may need part of the observation done in person – ask the provider how they run their assessments.

How can I prepare for an FCA?

It helps to gather:

  • Diagnosis and medical reports
  • Previous therapy or assessment reports
  • Notes on daily tasks that are difficult and the support currently provided
  • Your goals and what you'd like support with

If you're preparing an NDIS Access Request, have the form or any NDIA correspondence ready.

How long does it take to get the report?

Timeframes vary between providers. Most reports are completed within a few weeks of the assessment. Ask the provider about their timeframe when booking.
